A Fleetio Alternative for Boats: Engines, Crews and Owners in One Tool

An honest, dated comparison of Captain Crews and Fleetio for companies that run boats: what Fleetio does well, and what changes when an asset has two engines, a safety locker and an owner.

If you are looking for a Fleetio alternative for boats, you probably already know what Fleetio is good at: preventive maintenance, inspections and parts for vehicle and equipment fleets, with a dedicated page for vessel fleets. The real question is fit. A boat is rarely one engine and one meter. It has port and starboard engines, often a generator, safety equipment that expires, a team that logs hours on board and, for management companies, an owner who wants to see the work. Captain Crews is built around that kind of fleet, and it handles road vehicles too. This page sets out what each tool offers, side by side. Every fact about Fleetio comes from fleetio.com and its help centre, read on 14 October 2026. Where we could not verify something, we left it out rather than guess.

Captain Crews vs Fleetio: the comparison

Core focus

Captain Crews

Operations software for marine businesses: boats (and road vehicles if you switch them on), workshop jobs, staff hours, owners and bookings.

Fleetio

Fleet maintenance platform for vehicles and equipment, with a dedicated vessel page: maintenance, inspections and inventory on a mobile-first platform.

Engine hours

Captain Crews

One record per engine, with no set limit, each with its own hours, position (port, starboard, centre, emergency) and type (main engine, generator, auxiliary). A checklist step can capture the reading and update that engine's hours.

Fleetio

Each vehicle has a primary meter and an optional secondary meter, in miles, kilometres or hours. For a separate unit, its help centre suggests the secondary meter or a separate vehicle record.

Preventive maintenance

Captain Crews

A next-service threshold in hours for each engine, with a notification as it gets close and once it is passed. Job templates with checklists that repeat weekly, monthly or yearly and are created automatically.

Fleetio

Service programs and service reminders on every plan. Work orders limited on Professional and full on Premium; service program automations on Premium.

Inspections and offline use

Captain Crews

Job checklists you can tick, skip or comment from a phone. A network connection is required: there is no offline mode.

Fleetio

Mobile and web inspection forms on every plan, with offline inspections listed on all three plans. Inspection schedules from Professional.

Safety equipment and documents

Captain Crews

Safety equipment register: one line per item with its location on board, serial number and expiry date, with an alert lead time per company (30 days by default) or per item. Documents with expiry dates, and a Deadlines screen that sorts documents, safety items and engine thresholds by urgency.

Fleetio

Document storage from 2.5 GB to 250 GB depending on plan. Inspection templates and recalls reference U.S. road agencies (FMCSA-approved templates, NHTSA recalls).

Parts and inventory

Captain Crews

Parts fitted are noted as free text on each job. There is no stock or purchase-order module.

Fleetio

Parts records from Professional; purchase orders, automatic stock adjustments and low-stock notifications on Premium.

Captain Crews

Staff clock in from their phone (workshop, on a boat, break, end of day), with the GPS position recorded at each clock-in; you choose, employee by employee, whether location is mandatory. Overtime over a monthly pay period you set (for example the 26th to the 25th), leave, and an Excel export for your accountant. Payroll itself stays with your accountant.

Why boat fleets look for a Fleetio alternative

Fleetio's vessel page lists its core features: mobile inspections and work orders, preventive maintenance schedules, GPS tracking, service history, cost tracking and a maintenance shop network. In Fleetio, an asset that carries people or goods is a vehicle, and each vehicle has a primary meter and an optional secondary meter. That covers a boat with one engine and a generator well. Operators start looking further when the boat itself is the complicated part: three or four engines to follow separately, a preparation checklist before every outing, a register of flares and life rafts with expiry dates, staff hours to pay, and owners who expect to see what was done on their boat. If that sounds like your week, read on. If your fleet is mostly trucks and vans with a few boats, Fleetio may well be the better fit.

  • Boats with several engines, each serviced on its own hours
  • Recurring preparation and lay-up checklists for the whole fleet
  • Safety equipment and certificates that expire on different dates
  • Staff hours, overtime and owner reporting in the same tool as maintenance

What Fleetio does well

Credit where it is due. Fleetio is an established maintenance platform with service programs and reminders on every plan, mobile inspections that also work offline, and parts management with purchase orders and low-stock alerts on its Premium plan. It offers fuel and telematics integrations, offers an API and webhooks from its Professional plan, and includes unlimited users on every plan. Its Fleetio Go mobile app works in English and Spanish. Fleetio also works with boat fleets: its case studies include a Florida boat club that moved its maintenance tracking from paper and spreadsheets into Fleetio. If you need offline inspections, telematics or a full parts inventory, those are real strengths, and Captain Crews does not match them today.

  • Service programs and service reminders on every plan
  • Offline mobile inspections on every plan
  • Parts inventory, purchase orders and low-stock alerts (Premium)
  • Fuel and telematics integrations, API and webhooks

Where Captain Crews is different for boats

Captain Crews starts from the boat rather than the vehicle. Each engine has its own record, position, hours and next-service threshold, and the app warns you as that threshold gets close and once it is passed. Job templates hold your checklists, such as a pre-season check or a monthly bilge and battery round, and repeat automatically on the schedule you set. A safety equipment register keeps every flare, extinguisher and life raft with its location on board and expiry date, and a single Deadlines screen lists what is due next across documents, safety items and engines. Your team clocks in from their phone, overtime is worked out over the monthly pay period you set, and leave is tracked in the same place. For management companies, owners get their own access to their boats, approved jobs, invoices and the documents you share. For maintenance intervals, always follow the engine and boat manufacturer's manual: Captain Crews schedules alerts around the figures you enter.

  • Hours tracked engine by engine: main engines, generator, auxiliaries
  • Recurring job templates with checklists, created automatically
  • Safety equipment register and one Deadlines screen for the fleet
  • Staff clock-in with GPS, overtime, leave and an owner portal

Vehicles too

Many marine businesses also run vans, courtesy cars or a yard tractor. In Captain Crews, vehicles are an option you switch on for your company. They get their own record, follow-up by mileage in kilometres, maintenance categories made for vehicles (tyres, brakes and so on) and the same calendars as the boats, which you can view together or separately. Two limits to know: vehicles are tracked in kilometres only, not miles, and they have no engine-hour meter. For how to run boats and vehicles in one schedule, see our guide to managing a mixed fleet.

  • Vehicles as an option, with their own record and maintenance categories
  • Mileage in kilometres (no miles, no engine-hour meter for vehicles)
  • One calendar for boats and vehicles, filtered by type
  • Same team, same deadlines, same app

What Captain Crews does not do

A fair comparison has to say this too. Captain Crews needs a network connection: there is no offline mode, which matters on a dock without coverage. It has no parts inventory or purchase orders, no connection to third-party telematics, GPS trackers or AIS, and no app in the public stores: it is a web app you install on your phone's home screen. Its API is read-only and covers bookings only, on the Company plan. Notifications arrive in the app and as push notifications, not by email or text message. If any of these is a must-have for you, weigh it before anything else.

  • No offline mode
  • No parts inventory or purchase orders
  • No third-party telematics or AIS connection
  • Read-only bookings API, Company plan only

Pricing, trial and getting started

The two tools bill on different units, and that matters more than the headline price. Fleetio bills per vehicle and includes unlimited users: $4, $7 or $10 per vehicle per month on an annual plan, shown for a 5-asset fleet, with the final price depending on fleet size and contract terms (checked on fleetio.com on 14 October 2026). Captain Crews bills per user: $5, $9 or $12 per user per month, excluding tax, with launch pricing locked for life for subscriptions before 1 January 2027, and no boat limit on the Company plan. Check the conditions of each plan on both pricing pages, then run both sums with your own numbers of boats and users. Captain Crews offers a 30-day free trial on request, without a credit card, and you can import your fleet from an Excel file, which our AI reads and you check before anything is saved.

  • Fleetio: per vehicle, unlimited users, $4 to $10 per vehicle a month (14 Oct 2026)
  • Captain Crews: per user, from $5 a month, no boat limit on the Company plan
  • Launch pricing locked for life before 1 January 2027
  • Fleet import from Excel, checked by you before saving

Frequently asked questions

Is Captain Crews a good Fleetio alternative for boats?+

It is if your fleet is mainly boats and your work goes beyond maintenance: several engines per boat, recurring checklists, safety equipment with expiry dates, staff hours and owners to report to. Captain Crews covers those in one app and handles road vehicles too. If you need offline inspections, telematics or a full parts inventory, Fleetio is the stronger choice on those points.

Can Fleetio track boat engine hours?+

Yes. Fleetio meters can be set in hours, and each vehicle record has a primary meter and an optional secondary meter, according to Fleetio's help centre (read on 14 October 2026). For a separate unit, it suggests either the secondary meter or a separate vehicle record. Captain Crews keeps one record per engine, each with its own hours and next-service threshold.

Does Captain Crews work offline?+

No. Captain Crews needs a network connection; without one, it shows an offline page. Fleetio lists offline inspections on all of its plans. If your team works where there is no coverage, take that into account.

Can I manage boats and vehicles in the same tool?+

Yes. Vehicles are an option you switch on for your company. They have their own record, mileage in kilometres and vehicle maintenance categories, and they share the calendars with your boats. Vehicles are tracked in kilometres only and have no engine-hour meter.

How does pricing compare?+

Fleetio bills per vehicle with unlimited users, from $4 per vehicle per month on an annual plan for a 5-asset fleet (fleetio.com, 14 October 2026). Captain Crews bills per user, from $5 per user per month excluding tax, with launch pricing locked for life before 1 January 2027, and its Company plan has no boat limit. Which costs less depends on your number of boats and users.
